Print Shared Drive Files for Meetings
Before a meeting, you often need printed copies of the agenda, reports, and supporting materials stored in a shared Drive folder. The Docs to PDF extension lets you print everything in the shared folder at once, so meeting preparation takes minutes instead of the time it would take file by file.
Preparing meeting materials from a shared folder
Open the meeting's shared Drive folder. Select all files or only the ones participants need printed copies of. Run the extension. While the batch converts, set up the printer and prepare the meeting space. When conversion finishes, print the required number of copies for all attendees.
Setting copy counts
For a meeting with 8 participants, set the copy count to 8 in the print dialog before sending the job. If different documents go to different people, print those documents separately with the appropriate copy count.
Sending digital copies alongside paper
The PDFs created for printing are ready to email or share digitally too. For attendees joining remotely or who prefer digital copies, share the PDF files from your downloads folder or upload them back to a Drive folder for access.
Frequently Asked Questions
How early should I print meeting materials?
Print at least 30 minutes before the meeting to allow time for any issues. For large batches, give yourself more time.
What if meeting materials are updated after I print them?
Reselect the updated files in Drive and rerun the extension. Print only the new versions. Replace the outdated printed copies before the meeting.
