Print Files from a Google Workspace Team Drive

Google Workspace shared drives, formerly called team drives, are used by organizations to store shared documents. Printing files from a team drive works the same way as a personal drive folder. Navigate to the team drive in Google Drive, select the files, and run the extension.

Navigating to a team drive

In Google Drive, click 'Shared drives' in the left panel. Select the relevant team drive and navigate to the folder containing the files you want to print. Select files and run the extension as you would in any folder.

Admin-level restrictions

Google Workspace admins can restrict downloading and printing at the organization or shared drive level. If the extension fails to export files from a team drive, the admin may have applied these restrictions. Contact your IT admin if you need printing permissions adjusted.

Team print workflows

For teams that regularly need printed copies of shared documents, establish a standard workflow: store documents in a team drive folder, one person runs the extension and prints the batch, and distributes copies. This is faster than each person printing individually.

Frequently Asked Questions

Do I need to be a member of the shared drive to print its files?

You need at least Viewer membership in the shared drive. External users with a direct share link may have limited access depending on the organization's sharing settings.

Can the extension export files from a Google Workspace shared drive with DLP restrictions?

If data loss prevention policies restrict exporting or downloading files, the extension will fail for those files. Organization-level restrictions take precedence.
