Team PDF Workflows with Zapier and Google Docs

Centralized trigger folder
Set up a shared Google Drive folder that serves as the trigger point. Any team member who drops a Google Doc into that folder triggers the conversion zap. The team does not need to know about Zapier, they just use the folder as normal.
Routing by document name or metadata
Use a Paths step in Zapier to route different documents to different destinations. Documents named with a 'Client_' prefix go to the client communication folder and trigger an email. Documents named with 'Internal_' go to the team Slack channel. This avoids building separate zaps for every routing rule.
Audit trail with a Google Sheet
Add a Google Sheets action at the end of every zap path to log the conversion. Record the document name, conversion time, destination, and who owned the source file. This gives team leads a clear picture of what has been sent and when.

The zap runs under the account that created it. Other team members can trigger it by placing files in the watched folder. A Zapier Team plan allows multiple members to view and edit zaps.
