Email a Google Doc PDF Automatically with Zapier
Zapier can convert a Google Doc to PDF and attach it to an outgoing Gmail message in the same workflow. This removes the manual export and attach steps from recurring email workflows.
Adding the Gmail action
After the PDF conversion step, add a Gmail action and choose 'Send Email'. Map the PDF file data to the attachments field. Fill in the To, Subject, and Body fields. The zap sends a fully formatted email with the PDF attached each time it runs.
Dynamic recipient addresses
Use the Formatter or a Lookup Table step to map document names or folder paths to recipient addresses. For example, a document named 'Client_Acme_Report' could map to the Acme account manager's email. This personalizes the distribution without hard-coding addresses.
Email body content
Reference the document name, conversion date, and Drive file link in the email body using Zapier's data mapping. A brief, informative email body that includes a direct link to the original Doc gives the recipient context and a way to leave comments if needed.
