End-of-Year Google Classroom Archive: Bulk Export to PDF

At the end of each school year, archiving a complete course from Google Classroom means exporting everything in the associated Drive folders. The Docs to PDF extension lets you do this course by course, folder by folder, converting all materials and submissions to PDF for long-term storage outside of Drive.

What to export at year end

At minimum, export course materials (worksheets, lesson plans, handouts), student submissions for key assignments, and any collaborative documents from the Class Drive folder. These form a complete record of the course for the year.

Organizing the archive

Create a folder structure on your local machine that mirrors the Classroom structure. For example: 'Archive 2025-2026 > Math 7 > Materials', 'Archive 2025-2026 > Math 7 > Unit 1 Submissions'. Export each Drive folder to the corresponding local folder.

Why PDFs are better for long-term archives

PDF files open without a Google account, do not require an active subscription, and are readable by any standard PDF viewer. They preserve the layout and content permanently, even if Google changes how Docs renders in the future. Google Drive files, by contrast, require active access to view.

Frequently Asked Questions

Should I archive before or after archiving the course in Google Classroom?

Export to PDF before archiving or deleting the Classroom course. Archived Classroom courses retain their Drive files, but it is safer to export while everything is active.

How long does a full course archive take?

It depends on the number of files. A course with 50 documents across all folders may take 10 to 20 minutes of total export time across multiple batches.
