Convert Shared Drive Files to PDF with Viewer Access
Viewer access is the minimum permission needed to export files from a shared drive to PDF. You do not need Editor or Manager access. As long as the drive or file owner has not explicitly disabled downloads, the extension can convert any file you can view.
What Viewer access allows
With Viewer access in a shared drive, you can open files, view their contents, and export them as PDFs. You cannot edit, move, or delete files. The Docs to PDF extension uses Google's export API, which is available to any user who can open the file, including viewers.
When Viewer access is not enough
If the drive manager has checked the option to disable download, print, and copy for non-managers, Viewer access will not allow PDF export. In this case the extension reports a permission error for those files. Request elevated access or ask the manager to enable downloads.
Confirming your access level
Right-click a file in the shared drive and choose 'Share'. If you see only your name listed as a viewer, that is your current role. If you need to convert files regularly, ask the drive manager to grant you Commenter or Editor access.
Frequently Asked Questions
Can I convert a shared drive file to PDF if I only have Viewer access?
Yes, unless the drive manager has disabled downloads for viewers. Standard viewer access allows PDF export.
