Bulk Convert Mixed File Types from a Shared Drive to PDF
Team projects in shared drives often contain all three Google file types. Converting them to PDF for a handoff or archive works the same way as a personal Drive folder. Open the shared drive, navigate to the project folder, select the files, and run the Docs to PDF extension.
Accessing shared drive project folders
Click 'Shared drives' in Google Drive's left panel. Navigate to the project folder inside the shared drive. Select files using the same Ctrl+click or Ctrl+A method as personal Drive.
Permissions for mixed-type exports
Viewer access to each file is sufficient for PDF export. Files with download restrictions set by the owner or shared drive admin will fail. The extension reports these at the end of the batch.
Uploading PDFs back to the shared drive
Exported PDFs land on your local machine. If the team needs the PDFs accessible in the shared drive, upload them after the batch. You need Contributor or Editor access to add files to the shared drive.
Frequently Asked Questions
Do I need different permissions for Docs, Sheets, and Slides in a shared drive?
No. The same Viewer access that allows you to open a file also allows the PDF export. Permissions are per-file, not per-type.
