Why PDF is better than a shared link for distribution

A shared Google Doc link requires the recipient to have internet access and a way to view Google files. A PDF opens in any browser, any operating system, and most email clients without any app or account. When you are sharing with people outside your organization or with mixed technical skill levels, PDF is the safer choice.

What the recipient sees

When you share a PDF, the recipient sees exactly what you see in the Google Doc at the moment of export. No revision history, no suggested edits, no comments unless you choose to include them. The document is locked at that version.

Sharing via email vs. sharing a Drive link

Attaching a PDF to an email is the most universal sharing method. The recipient needs no account to open it. Alternatively, upload the PDF to Google Drive and share a view-only link. This approach keeps the file in one place and makes it easy to update by replacing the file.

File size for sharing

PDFs exported from Google Docs are usually modest in size unless the document has many high-resolution images. For large files, Google Drive file sharing handles the size better than email attachments. Most email services cap attachments at 25 MB.
