Export Google Docs as PDF Email Attachment

A Drive link requires the recipient to have a Google account and to be granted access. A PDF attachment opens in any email client, on any device, without any login. For external clients, vendors, job applicants, or anyone outside your organization, a PDF attachment is more reliable and more professional.

Open the Google Doc, click the Docs to PDF extension icon to export it, then switch to your email client and attach the downloaded PDF. The whole process takes about 30 seconds. If you set the extension to save to Google Drive, you can also attach from Drive directly in Gmail without the local download step.

If you need to attach multiple documents to one email, select them all in Google Drive and run the batch export. All PDFs download to your downloads folder. Attach them all to the email in one selection. This is faster than exporting and attaching one at a time.

PDF attachments have size limits in most email systems. Gmail allows up to 25 MB per attachment. A standard Google Doc exports to a PDF that is usually well under 1 MB unless it contains many high-resolution images. If the exported PDF is too large to attach, compress it using a tool like PDF24 before sending.
